Excel Executive Dashboards For Performance Reporting
The Power of Excel Pivottables
Pivot table reports are powerful Excel tools in analysing and presenting data and are used as the main mechanism for data to be calculated and linked to Dashboard reports. Pivottable reports provide an easy way to update data from the source database. Usually you would click the refresh button, but you can do this automatically via VBA using a change_event. Once updated, results are calculated automatically and presented in the table. This is done by adding your own formulas. You might want to show the values when columns A and B are added together. This is why it is more important to use the smallest unit possible when using source data for pivottables.
If league tables are important then pivot data reports can be listed ascending or descending based on a particular indicator or the indicator with conditional formatting. This will depend on which one is the most relevant. Having a good result doesn’t mean the best. Workload and low numbers have an impact on results. Another example is invoices. You could show 100% for a business unit, but they only process a handful, whereas those with results above target and which contribute to the greatest percentage of invoices would be deemed better performers due to the volume. The totals are important as they provide the Year to Date. This way, the end of year results are calculated as we go through the year, rather than being a separate exercise after processing quarter 4 performance results.
Pivot tables do have some drawbacks. For example, the sum of employees in the attendance management report is accurate on a quarterly basis, but the total for the year is not valid. You can use the max and min options within a pivottable. This field could be hidden to prevent any confusion. The easier alternative is to change the colour of the text to white to match the background colour. Formatting is very limited with pivot tables in excel 2003. There is a option to help format but it is cumbersome to use. Usually when you update PIVOT DATA in pivot tables, the formatting can be lost. A way around this is to use the macro recorder to add a button on the toolbar or worksheet that can be linked to the vba code. This way if it is lost, you can click the button to run the macro. Within seconds your pivottable will be formatted.
