Pivottable Reporting in Excel

Bookmark and Share

PivotTable reporting is a useful feature for working with pivot data in list form. It allows you to summarize large amounts of data and to manipulate row and column headings so that you can view the data in different ways. They allow interactive analysis of data. Hence the name 'pivot' table. This is a better way to view data as it prevents hard coding of formulas that might have to be edited changed. To reduce errors you can let pivottables do any calculations rather than having calculated figures within your list.

The tables can be organized into fields and items. Fields are rows or columns of data. Data items exist within a field. For example, if you want to summarize data by month, each month becomes a data field. Data items are the numbers you want to summarize or analyze.

You can filter a large database using a page field. A page field displays only the data for the selected page field item. For example, if you had data that covered several years, 'Years' could be a page field. You could then choose to view the data summarized for all the years or from only a single year.

The field layout of the Pivot Table report is where you specify the fields you want to place in the rows and columns and specify the fields for the calculation. You can perform this step in a window in the PivotTable, in the PivotChart Wizard, or directly in the worksheet. If the data source is an Excel workbook, it is easier to lay out the Pivot Table report directly in the worksheet. If the data source is an external database or an extremely large database, it is better to use the Layout window in the PivotTable and PivotChart Wizard.
