4 principles to keep in mind with Excel dashboards
The development of your first Dashboard should have these four principles in mind. The first is that it shouldn’t require excessive maintenance and should be easily changed. e.g. dynamic linking the chart series to the master data.
The whole idea here is to cut down the amount of work it takes to produce reports not increase them. For example, the size of the charts are very easy to change by adjusting the row height. The charts are fixed within a cell to enable this. TIP: hold alt when selecting a chart to fix to a cell. The only thing that is manually changed on the dashboard is the quarter and date - even this can be automated. Everything else is linked to the data source through the use of formulas or VBA and automated as much as possible. You are effectively designing out manual tasks.
The second principle in the design was that is should be for printing. This is true for all the reports. The layout is designed to fit all the charts onto one page only. This applies for viewing on screen. If it is out of sight then it will not be seen. This means important data should be in the most visible part of the screen, which is usually to the upper left and middle.
The third principle is to allow increased functionality and interactivity, by signposting to further information. For example, Clicking on the title will allow quick navigation to the associated reports, rather than having to find it from the Excel worksheet tabs. Simple things like this can increase peoples perception of your reports.
The fourth principle is that the Dashboard should represent the key performance indicators that are set out in the current organisation's Plan. With this focus, you should be able to drop a lot of performance indicators due to a lack of relevance and other lagging indicators. This should allow more time to develop reports on the critical success factors.
